JOB TITLE: Onsite Receptionist


DEPARTMENT: Facility


LOCATION: ADP Torino


REPORTS TO: Facility Manager


JOB PURPOSE: Providing high level of onsite reception service, being the first contact with the company. Adequate and proactive attitude towards local and international visitors/clients as well as the employees. Support on safeguarding and enhancing ADP’s assets, brand and reputation.


KEY RESPONSIBILITIES AND TASKS:


Reception and Switchboard
• Taking care of Facilities related to onsite guest reception and welcome
• Switchboard management in accordance with other receptionists based at the other locations in Italy
• Maintenance Teams/Vendors welcome and registration/feedback collection following their onsite activity
Mail and Postage
• Registration and distribution of inbound mail
• Deliveries via courier booking/tracking and paper boxes arrangements
• Onsite management of mail in/out - franking operation and counting tracking to be shared with ADP Finance Team
Meeting Rooms
• Setting the layout of the meeting rooms and cooperating with IT department referring to meeting rooms procedure
• Provide support with Meeting-Room-Booking system in case of need
• Provide support to ADP Teams with their guests


General Facilities
• Facilities Ticketing Tool management
• Onsite Facility focal-point and collector for special maintenance requests, complaints related to defects
• Maintenance emergency call-out management
• Being the onsite contact for the Physical Security Central Team in case of local test
• Stationary purchasing procedure
• Supporting the Business in various day-to-day activities/requests
• Support local GETS Team with peripherals distribution/collection
• ADP assets management liaising with local ADP Finance Team


Events
• Manage catering services requests
• Provide Facilities support with preparation of events in case of need


Training Department Support
• Onsite training/educational material collection and distribution
• Support to Trainers in case of need (training records collection)


Health & Safety
• Being the onsite contact for Safety
• Support to the occupational physician, when needed
• Appropriate support to the Facility team in case of emergencies/urgent issues as they
arise locally.


SKILLS AND KNOWLEDGE:
• Ability to interact with visitors in proper professional manner.
• English fluent
• Collaborative and proactive attitude, able to identify priorities.
• General knowledge of facilities equipment and facility procedures.
• General knowledge in the use of computer systems.
• Ability to identify and recognize unsafe conditions or work practices.
• Ability to identify problems, provide support.
• Ability to cope with stress

EDUCATION AND EXPERIENCE:
• At least 5 years experience in equivalent role in multinational company
• English is a must
• Organization and communication skills
• Team working skills is a must
