ESSENTIAL RESPONSIBILITIES:

  1. Reconciliation of liabilities (records) to assets (Mutual Fund Positions) -- Performs daily share balance reconciliation between the records of the recordkeeping system to those of the trust. Researches and resolves all discrepancies arising from variances between the two holdings.
  2. Investment Trading - Places, confirms, and instructs for settlement the investment trades per the direction the participants, beneficiaries, and plan sponsors. Researches any trade discrepancies or unconfirmed trades. Report on daily trade activity to both internal and external parties. Work with various investment firms to initiate account opening and trading relationships.
  3. Investment Pricing and Performance- Obtain pricing and performance information from investment firms and other contracted parties. Validate the accuracy of this data through various checks and balances. Apply this information to the recordkeeping and ancillary systems. Perform these functions by specified deadlines.
  4. Cash Reconciliation and Money Movements- Perform daily cash reconciliations for the established demand deposit accounts (dda's). Instruct the trustees and custodians on money movements associated with these dda's. Research and resolve all discrepancies arising from variances in the reconciliation.
  5. Dividend Analysis and Postings- Acquire and post all dividend transactions to the recordkeeping system by the established timeframes. Research and resolve all global dividend discrepancies.
  6. Check writing -- Performs all activities necessary to complete the daily production of retirement plan checks. Ensure payments have been processed into the checkwriting system, reconcile the output to various reports, release the checks to print, instruct on wire payment, and quality check the output. Trouble shoot daily system issues and any reconciliation items.
  7. Tax Reporting- Perform Federal and State withholding, depositing, and reporting responsibilities. Perform reconciliations between the recordkeeping system and the tax reporting system. Identify discrepancies and resolve through multiple processes. Perform functions timely in order to reduce and eliminate fines, interest, and penalties. Identify new tax legislation and the impact to our applications. Communicate to impacted parties including producing/documenting enhancements to our applications. Be the resource for all in RS for knowing, interpreting, and communicating tax legislation.
  8. Analysis/Problem Solving - Possesses and applies knowledge of the completion of moderately difficult to complex assignments.
  9. Accounting Systems and Other Financial Control Applications - Possesses broad knowledge of many accounting systems, may recommend changes to currently used system to expedite problems. Develop, test, document, and implement these enhancements.
  10. Special Studies/Projects - Conducts studies which lead to development and/or recommendation of accounting methods and procedures. Handles various accounting projects on an as needed basis; (example: tax returns and forecasting for budgetary purposes).

NON‑ESSENTIAL RESPONSIBILITIES:

  1. Performs other related duties as assigned.
  2. Functional Responsibility:

Competent to work on moderately complex Financial Control functions. Responsible for assisting and training Analyst I positions on tasks and reconciling items.

  1. Decision Making/ Judgement:

General supervision. Uses some discretion and evaluation. Work is checked for soundness of judgement and overall accuracy.

  1. Level of Supervision Received:

Works under general supervision.

  1. Accountability:

Errors may cause delay, expense, and disruption. Affects accuracy and quality of functions being performed.

  1. Contact (Internal - External):

Limited external contact. Internal contact primarily with ADP associates who have more complex Financial Control questions.

  1. Mgmt/Supv Responsibility:

Occasional function guidance.

EDUCATION - EXPERIENCE:

  • Bachelor's degree in Accounting, Finance, or equivalent training.
  • 1 to 3 years of general Financial Control experience OR 1 to 2 years as a Financial Control Analyst I having mastered the skills for that role and excelling in the performance management appraisal.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Experience in mailroom operations, print operations, financial services, or a related operational environment preferred.
  • Strong organizational skills with the ability to manage multiple priorities and competing deadlines.
  • Experience working within regulated environments and adhering to compliance and audit requirements.
  • Proficiency with Microsoft Office applications, particularly Excel and reporting tools.
  • Strong attention to detail and commitment to accuracy.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively within a team environment.
